Samples Random or blank samples are sent at no charge via first class mail. With your shipper number, we can ship via Fed-ex or UPS. Any requested received after 3:00pm EST will be processed the next business day. Send requests to samples@baystate.com.

Standard Production Time 5 working days on catalog quantities with a one color imprint with the exception of laser engraving. *Production time begins the first working day after receipt of your complete order. All other orders for catalog quantities will ship in 7-10 working days. Important: An order is not considered complete until we have received both your purchase order and artwork. If a paper proof is requested, production time will not begin until we receive approval. *Please contact factory for LASER ENGRAVING lead-time as it may vary based on production demands.

Rush Service The rush service is dependent on inventory and production capabilities. Please contact the customer service team prior to sending your order to reserve your RUSH. Rush service is available for quantities of 1,000 pcs or less with a 1-color, 1-position imprint and Full Color orders of 500 pieces or less with a 1-position imprint. A complete order must be received by 10:30am EST with Rush requested, proof waived and print ready artwork.

Acknowledgements All orders are acknowledged via fax / email. Please read the acknowledgement carefully! Orders are processed according to the information provided. You will also receive a faxed or emailed shipping acknowledgment the day your order ships. 24 hour order status and package tracking is available on our website at www.baystate.com.

Proofs Emailed / Faxed Proofs One emailed or faxed proof is available at no charge upon request. Additional paper proofs are charged at $10.00 (g) each. Production time does not begin until proof approval is received.

Online Proofs Online proofs are available 24 hours a day on our website at www.baystate.com. Proofs are available within 1-2 days of receipt of order and will remain online for 14 days. Online proofs are free to view. Important: We do not hold your order for approval of the online proof. Any changes to online proofs will incur a $60.00 (g) change of copy charge.

Virtual Proofs We can provide a digital image of your imprint on any of our products. There is no charge for this service. Send detailed request with usable art to artwork@baystate.com. *Must provide print ready artwork. Any art that requires retouching is subject to art charges.

Preproduction Product Proofs A physical product proof is $60.00 (g). Production time is increased by the time required for proof approval, this is usually 5 working days.

Speculative Samples Spec samples can be ordered for $60.00 (g). Submit request as a purchase order via email to orders@baystate.com and artwork to artwork@baystate.com. Reference PO # and company name in the subject lines.

Product Pricing Our catalog prices, plus the setup charge, include a one-location / one-color imprint.

Blank Stock While our prices include an advertising imprint as a courtesy to clients, all products may be purchased blank at the end-quantity price.

Laser Engraving Laser engraving is available on bamboo products, please add an additional $1.25 (g) per piece. Laser engraving is standard on metal flashlights and most drinkware.

Combination Pricing Save money on two or more products for the same customer, shipped to the same location. Simply mark "Combination Pricing" on the order(s). The individual products will be produced at the total-quantity prices. Combination pricing cannot be used with other offers.

Repeat Orders Please include your previous purchase order number, our job number, and date. We maintain order information for two (2) previous years on most standard products. Stadium Cup and Cooler artwork is available for 12 months. Orders with the EXACT same copy on the EXACT same product occur a $20.00 (g) repeat set-up fee. All other standard charges will apply, such as additional color run charges / location setups and run charges.

Change of Copy / Change of Imprint Color Each change of copy and / or change of imprint color MUST MEET the catalog minimum quantity. The charge for each is $60.00 (g).

Less Than Minimum Half of the catalog minimum is allowed with an additional charge of $60.00 (g).

Poly Bagging Most products may be inserted in individual poly bags for $0.25 (g) each.

Overruns and Underruns We reserve the right to overship or undership by no more than 5% of the quantity ordered. For exact quantity orders, please add a $15.00 (g) charge.

Shipping Customer supplied labels cannot be used. Shipment is FOB MA factory. Stadium Cups and Coolers FOB is GA, Pens starting with W84 FOB is IA. Not responsible for delayed shipments when given to carrier on time. Unless a carrier is specified, we will ship best way based on time, destination, and weight.

Shipping Service Charges Drop or Split Shipments $10.00 (g), first location is free.

Incorrect Address or Redirection $20.00 (x) per box.

Returned Merchandise Returned merchandise will not be accepted without prior approval. There is a 20% restocking charge for blank stock. All returns must be approved and made within 60 days of the original ship date.

Canceled Orders Prior to production, there is a $48.00 (x) charge if copy has been processed. After production, merchandise is billed.

Artwork Specifications

Camera Ready Art Clean, crisp, black and white art printed at 600 dpi or greater on white paper. For multi-color artwork, please provide camera-separated artwork, non-separated artwork will incur art charges

Electronic Art Providing print ready vector art will result in a higher quality finished product and can also reduce your setup costs. A common program used to create vector art is Adobe Illustrator. Files created in this program should be saved with the file extensions such as .eps, .ai, and .pdf with all text converted to outlines.

Typeset Copy Your price includes up to four (4) lines of typeset text at no charge. Additional lines are subject to art charges. We have hundreds of type styles available to us. Please let us know what style you are looking for and we will review our database to match it.

Art Charge Any art that requires retouching will be billed at $50.00 (x) per hour with a minimum charge of $25.00 (x).

Standard Imprint Colors Due to different materials and different background colors, the imprint colors below are shown only as a representative sample.

Color Matching We can not guarantee an exact PMS color match or digital CMYK color match because of the variation in the material being printed. We will come as close as possible when matching specified colors and recommend pre-production proofs for orders with color critical artwork. There is a $60.00 (g) charge for printing non standard ink colors.

Catalog Pictures The artwork, designs, and logos displayed in this catalog are only representations of the products and imprinting methods available. The do not represent that the products are endorsed by or produced for the owners of the artwork, designs, or logos.

GUARANTEE Bay State guarantees all products to be free from defects of material and workmanship. Any products found to be defective will be replaced. Also, we guarantee the accuracy and quality of our imprinting. Orders imprinted incorrectly, as the result of an error by Bay State, will be redone at no charge.
